  Archiving / Filing Features  

MAKTABI manages the documents on several levels, and can be viewed by different structure. One of the major features of MAKTABI is to permit multi-view data organization:

 
   

 - Information can be indexed and browsed by library structure; this will permit a complete coherency between physical and digital data
 - Information can be browsed by contact structure
 - Information can be browsed by files structures

 - Library ::

 

Library is the highest level of organization; the system can have unlimited libraries. In a normal storage and archiving organization.

 

 - Cabinets ::

 

Cabinets are the digital equivalent representation of storage cabinets that are normally used in organizations. You can store folders within a cabinet. Cabinets can be Created, Edited or Deleted.

 

 - Folders ::

 

Folders are the computer equivalent of the folders that are normally used in cabinet offices. Folders are located inside cabinets and a user can file documents into a folder. Folders can be Created, Edited, or Deleted.

 

 - Documents::

 

Documents are the computer equivalent of the documents normally used in an office. Two categories are defined:
• Scanned Document
   Several scanned pages can be stored in one document

• Electronic file (word, excel, sound, video,…)
  Supporting Versioning
 

 

        

 

In MAKTABI, documents can be classified by categories. Several categories can be defined and document is created having by default those categories permitting intelligent classification of documents.

 

MAKTABI support any type of scanner having a TWAIN driver. Several scanners can be defined at the same time.

 
   
  Document Management

MS- Office is completely Integrated with MAKTABI (Word, Excel, PowerPoint and outlook)
MAKTABI has add on for office (a button is added in the different office applications and current document can be saved and sent directly to MAKTABI

Version Control with options for managing multi version documents.

PDF: Supports PDF file formats and export to PDF file format. Also, MAKTABI can read a PDF file and make OCR on it and indexed automatically

Schedule document filing: Using this feature documents from HDD or from a Network location can be filed to MAKTABI automatically.

Multimedia file: this feature enables the user to store many media files and play it with MAKTABI internal multimedia player.

 

 

   

 
   
  OCR (Arabic,English)  

OCR - Image formats are not recognized by word-processing software. OCR (Optical Character Recognition) is the process of recognizing (text) content of an image file and converting the same into text. This text can be edited and exported as text files. OCR feature is powered by IRIS OCR, the must powerful, rapid, the must accurate and distributed OCR in the world. In fact DDS, is a value added reseller and integrator to IRIS product. With our forms recognition module and with OCR capabilities, MAKTABI permits the following:
• Define Document Template
• Define Zone Template (Selective Zone OCR): Allows users to recognize and index the selected portions in a page or a document.

Scheduled OCR: OCRs the documents automatically as per timing in the schedule. The schedule may be daily or on selected days.

MAKTABI OCR support English (54 Languages is supported), Arabic, Barcodes and Banking font OCR.

 

 
   
  Workflow  

MAKTABI is integrated with a powerful business process automation tool, in fact, the main objective of a BPA is to assure an MIS automation permitting organization to reduce operational costs, to increase productivity, to increase quality of service (internal or external) and to have a complete follow up and activity/productivity dashboard. Any tool should help organization to evolve toward a learning organization.

With this module user can automatically san a business card, users an use SNAPPY camera provided in Maktabi package. This module will permit the following:

• Recognize automatically the business card data
• Create a contact

  Petty Cash Management  

This module permits the secretaries to manage the petty cash, all transactions are registered and periods can be opened. The petty cash balance is displayed in real time.

 

 
   
  Secretary Mailing Books Management  

This module permits secretary to create secretary books and to register transactions. Automatic reference is created for each transaction.

 

 
   
  Phone Conversation Recorder
